Administrative Assistant II (High School)
Schedule: Monday - Friday 40 hrs/wk (10 months)

I. JOB SUMMARY:

Screens visitors and assists students, staff, and the public coming into the office; answers phone lines and directs calls appropriately; maintains activity data, records, and fees; makes event arrangements and coordinates event workers. Coordinates and facilitates the daily operation of high school athletics and activities and provides the Activities Director, coaches, advisors and students with administrative support.

II. POSITION RESPONSIBILITIES

1. Performs record-keeping functions for the Activities Department.

¦ Maintains activities participation data, records, activity and student files;

¦ Compiles data for student eligibility by verifying physicals, and parental permission and

utilizes district systems to determine eligibility.

¦ Maintains and updates schedules of events/activities.

¦ Creates and maintains roster and program information for activities and athletics.

¦ Collects and maintains Minnesota State High School League forms and information;

¦ Prepares, gathers, and submits data for region mileage and activity reports, MSHSL

reporting, and district and state reporting as required.

2. Performs specialized office activities and functions

¦ Prepares and updates sports schedules, contracts, student dismissal, official and worker

assignments.

¦ Makes arrangements and schedules; coordinates ticket sellers, substitutes and programs

for various athletic events.

¦ Assists in compiling, and researching information, and assists in revising/modifying reports.

¦ Coordinates event arrangements including busing, hotel/room assignments, fee

information, and communication regarding event information.

¦ Performs routine communication with vendors.

3. Performs core financial accountability of school budgets:

¦ Collects activity fees, athletic contests, activities, season ticket sales, activity fees,

including organizing ticket sales for regional and state competitions and fine arts events.

¦ Counts receipts and prepares deposits.

¦ Input requisitions into the district financial system.

¦ Processes Purchase Orders (PO) of staff and administration requests.

¦ Collects fees or monies for various program/building/district events.

¦ Assists in coding and reviewing bills for payment.

¦ Communicates budget transfers to business services as needed.

¦ Prepares budget reports as needed.

¦ Obtains W-9s as needed; reviews and verifies 1099 information for accounts payable

office.

4. Performs general clerical support.

¦ Answers the phone and routes incoming calls. Answers and screens questions from

parents, students, district staff, and the general public regarding the Activity Director’s

schedule, athletics, activities, and general policies, rules, and regulations to students,

parents, media, and the general public.

¦ Assists visitors in the building with needed information and appropriate identification if needed.

¦ Prepares correspondence including memos, reports, agendas, and documents.

¦ Assists with projects

¦ Coordinates meetings and supplies as needed.

¦ Obtains, gathers, and edits data as necessary.

¦ Performs other support functions as requested.

¦ Provide support and back-up for other clerical staff as needed.

III. CRITICAL SKILLS/EXPERTISE

Physical Involvement:
General office working conditions, primarily sitting, using close vision and talking; frequently using keyboard to input information into computer, reaching with arms and hands; occasionally presenting information to small groups and lifting up to 20 pounds.

IV. MINIMUM QUALIFICATIONS
Minimum qualifications include:

  • Education:
  • Minimum of High School Diploma with additional training or experience in an office setting
  • 2 year AAS in a related field preferred

Experience:

  • One or more years in an office setting
  • Special Knowledge, Skills, Certifications, Licensure Required:
  • Computer knowledge and skills working with documents and spreadsheets
  • Google skills and knowledge are a plus
  • Skyward skills or the ability to learn this system is required, previous student or other database experience is a plus
  • Must possess very high communication skills to work with students, parents , staff and visitors
  • High organizational skills and the ability to work in a fast paced environment is required
  • Must have the ability to maintain calendars and schedules and support administration and counseling staff
  • Must handle all information with the strictest confidentiality
